Consent procedures

We have recently updated our data collection and privacy statement and wish to alert you to the new provisions. Please click this link to see the new version Privacy Policy.

There are two main new elements of the new statement. An additional paragraph that seeks consent from individuals to collect and use their data for Glasspool’s internal research and evaluation purposes.  Please see page two of the document. This will not be personally identifiable information. In the case where personally identifiable data may be required (e.g. case studies etc.), specific consent will be sought from the person who required our grants support. We have also updated the length of time we hold personal information, this is seven years for audit purposes. You will need to make your clients/service users  aware of these new provisions, in addition to the other elements of the Privacy Policy

We have adapted our consent procedures whilst social distancing measures are in place to enable you to record verbal consent where written consent is not possible.

If you submit an application that has incomplete consent from the person you are supporting we would be unable to assess the application, and will revert the application back to 'new' status. You may not be able to submit the application if we have received as many applications as we can fund for that week. Please check GrantsPlus regularly to see if we are accepting new applications.

Verbal consent (please follow the steps below)

• Please explain to the person you are supporting that we can accept their verbal consent whilst social distancing measures are in place. If possible, please send them the following links and ask them to read these documents:
  • Privacy Policy 
  • Consent Form
• If they are unable to read the documents, please explain the documents’ contents, outlining how their personal and special category data will be used by Glasspool Charity Trust and its suppliers of goods and services.
• Once you have explained this information, please ask them to confirm they have spoken to other members of their household (where relevant) about providing their information and ask them to confirm that they all give their fully informed consent for us to use their personal and special categories data in line with the purposes set out in our Privacy Policy and Consent Form. Remind them that they can withdraw their consent at any time, but that does not affect the validity of their consent up to that point.

If you can print a copy of our consent form

You will need to complete Section 1 of the form and then either scan or take a picture. The form must be saved as a PDF or JPG file format and the file name can not contain more than one full stop ( . ). The application can then be uploaded to the application by:

1. Going to the Consent Form Privacy Policy section of the application form, which is located at the bottom of the ‘Applicants’ page.
2. Pressing the ‘Browse’ button and navigating to where you have saved the consent form on your device, choosing the ‘Open’ option to open the file.
3. Pressing the ‘Upload’ button, to upload the file to the application.

If you are unable to print a copy of our consent form

Please obtain verbal consent from the person you are supporting as specified in Section 1 of the Consent Form. 

1. Then upload a blank consent form (PDF format) to the application. (GrantsPlus will not allow you to proceed with a grant application without this). Please refer to steps 1–3 above for help on how to upload a Consent Form.
2. In the section of the application form called ‘Additional Information’ please state that you have the verbal consent of the person you are supporting and the date the consent was given.

Written consent

If the person you are supporting is able to provide written consent (the Consent Form which can be found here) they will need to complete Section 2 of the form. You will then need to upload the Consent Form to the application as outlined above.
